With Okeh you send any document for your client as a link, including the ones without prices. Your client opens it on their phone, you see when they open it and, if needed, they approve it with a code sent by email.

Which documents

  • Report (report): the results of a campaign or of the month, with the numbers and the next steps.
  • Brief (brief): goals, references and the choices to settle before you start.
  • Proposte (proposals): the project split into phases, with the time and cost of each.
  • Istruzioni (instructions): the steps to follow, for example how to set up an email account on a phone.
  • Stato dei lavori (progress update): what is ready, what is missing, what you need from the client.
  • Verbali (minutes): decisions and next steps after a meeting or a call.

Starting from a template

  1. In the dashboard open Modelli (Templates) and under Tipo (Type) choose Report, Brief, Proposte, Istruzioni or Verbali. You can also see them in the template gallery.
  2. Press the card, pick the style and press Usa questo modello (Use this template).
  3. Fill in the form and press Crea la bozza (Create the draft).
  4. Check the draft and press Pubblica (Publish). While it is a draft the link does not open.

If you already have the document in Word, Pages, Canva or Google Docs, upload it as a PDF. See Uploading a PDF.

Read receipt or approval

In the templates that are not quotes, the signing box at the end is called Presa visione (read receipt) or Approvazione (approval). A read receipt tells you the client has read the document. An approval gives you the go-ahead before you move on.

Your client signs as they would sign a quote: they enter their email, get a 6-digit code and confirm. You both receive the PDF certificate with the date, the time and the seal of the document.

  • You turn signing on and off in the document detail, in the Opzioni (Options) box, with Firma via email (Signing by email).
  • If you don't need a signature, leave it off: the document stays a link to read, with the opens.
  • Your client can write a note while signing, for example "fine, let's move delivery to the 20th". The note goes into the certificate. See Choices and the note at signing.

Opens and notifications

As with quotes, you see how many times the document was opened and when, and you get an email when your client opens it. Your own opens don't count. See Understanding opens.

Categories

Give each document a Categoria (category), for example Quotes, Reports, Proposals or Instructions. You choose it when you create the document or later, in the detail. In the Documenti (Documents) list you filter by category.

Instructions to find again

For instructions and documents to keep, turn on Ricevi via email (Get it by email) in the Opzioni box: whoever opens the document can have the link sent to them and find it again later.

Expiry is for offers. For a report or instructions choose Nessuna scadenza (No expiry) in the Validità (Validity) box. See Offer expiry.

Note

Every document counts towards your new documents of the month, whether it is a quote or a report. On Free you can create 3 a month, on Base 20, on Pro without limit.
