Sending from your own mailbox (SMTP)
How to send Okeh emails from your own mailbox: SMTP settings for Gmail and Google Workspace, Aruba, Outlook and Microsoft 365.
Pro plan
Sending from your own mailbox is on the Pro plan and in the trial. On Free and Base, emails are sent by the service with your business name, and replies still come to you.
With SMTP, emails to your clients are sent from your own mailbox, for example preventivi@yoursite.it. Your client sees your address as the sender.
Where to set it up
- Open Impostazioni (Settings), Email tab, Email ai clienti (Emails to clients) box.
- Fill in Server SMTP (SMTP server), Porta (Port), TLS/SSL, Utente (Username) and Password with your provider's details (table below).
- In Mittente (Sender), write the name and address like this:
Studio Rossi <preventivi@yoursite.it>. - If you like, fill in Le risposte arrivano a (Replies go to) and Copia nascosta (Bcc).
- Press Salva (Save), then send a document to yourself to test it.
Settings by provider
| Provider | Server | Port | TLS/SSL | Username and password |
|---|---|---|---|---|
| Gmail | smtp.gmail.com | 465 | on | full Gmail address and an app password |
| Google Workspace | smtp.gmail.com | 465 | on | full address and an app password |
| Aruba | smtps.aruba.it | 465 | on | full address and mailbox password |
| Microsoft 365 | smtp.office365.com | 587 | off | full address and password |
| Outlook.com | smtp-mail.outlook.com | 587 | off | full address and password |
Gmail and Google Workspace
Google doesn't accept your normal password from other programs. You need an app password:
- Turn on 2-Step Verification for your Google account, if it isn't on already.
- Open your Google account settings, Security section, and look for App passwords.
- Create a new password with a name of your choice, for example "Okeh".
- Copy the 16 characters and paste them into the Password field.
With Google Workspace, if the option doesn't appear, the domain administrator has to allow app passwords.
Aruba
Use the full address as the username and the mailbox password. If sending doesn't work, check in the Aruba control panel that authenticated SMTP is switched on for the mailbox.
Outlook and Microsoft 365
With port 587, leave TLS/SSL off: the connection is secured by itself with STARTTLS. On Microsoft 365, the administrator has to switch on authenticated SMTP for the mailbox.
Warning
Microsoft is removing password-only access for sending from other programs. If your Outlook mailbox doesn't send, leave the SMTP fields empty: emails will be sent by the service with your name, and replies will come to you.
Going back to sending through the service
Clear the SMTP fields and press Salva. Emails are sent from the service's address again.
